10 Ways to Make Sure Your Virtual Meetings Are Accessible

Since the events were Virtual Covid, it has focused much more on ensuring that they are accessible to all attendees, including those with auditory and visual disabilities.

Be sure to follow these 10 tips:

1. Enable “always show meeting controls”

This will ensure that the control toolbar is always visible for facilitation access to the characteristics of the meeting and keyboard shortcuts. Keyboard shortcuts allow users to interact with applications and websites without only trusting a mouse or touch screen, and accessibility keyboard shortcuts are specifically designed for users with disabilities.

2. Enable subtitles

The subtitle is essential for people with auditory disabilities (as well as for those for whom the language used in the call is not their main). You can enable subtitles (“CC”) at the top or lower screen on the three main platforms (Zoom, Equips and Google Meet).

3. Train your speakers to take it easy

Remember speakers who are audience members who depend on assistance technologies and need to speak slowly so that participants can process the information.

4. Share materials in advance

The screen exchange is not always ideal for people with disabilities. Send them the presentation or documents in advance so that they can have them open when they participate.

5. Follow the accessible guidelines for the text

The headers and titles are invaluable for people who use screen readers. Use the styles panel to apply headers, keeping them in hierarchical order with only one H1 per page.

Choose a text color that provides a high level of contrast to the background. The standard for web accessibility is a relationship between the two colors or 4.5: 1. Avoid the light text on a light background or dark text on a dark background.

6. Use the alternative text

Add the alternative text to the images, graphics and graphics in PowerPoints. ALT-TEXT is read by screen readers (or other assistance technology) to provide image information. Not only should the image describe, but to provide context on how image relationships with the content of the page. See these best practices.

7. Add the description to the video

Provide precise subtitles for the video and add descriptive audio in the video or provide an audio description track.

8. Call important chats

Share important points of the chat with the participants, so that with the assistance technology (or who calls) knows the discussion.

9. Make a dry accessibility execution

Try the accessibility configuration, such as the screen reader and high contrast fashion, before the event begins to avoid any problem. Even better, do it with some who use the characteristics.

10. Use accessibility icons on your marketing

The two common icons that represent the accessibility support are the icon of American sign language (ASL), indicating the presence of sign language services; and the real -time translation icon (CARD) of communication for real -time subtitles services, which are available in a variety of sources.
